Business Card Management

Once a business card has been issued, both the company admin and the assigned employee can manage it within their respective Kolo interfaces. This guide explains who can manage a business card, where they manage it.

Who Manages a Business Card

Business card actions depend on the user role and the interface they use.

  • Company owners manage business cards in the Kolo Business (B2B)

  • Employees manage their assigned business cards in the Kolo Personal (B2C)

Employees (cardholders) can manage only the business card assigned to them and use the card for payments.

Business Card Statuses

A business card can have one of the following statuses:

Status

Description

Active

Card can be used for payments

Frozen

Payments are temporarily blocked

Terminated

Card is permanently disabled

What Happens If Wallet Access Is Removed

Business cards are linked to a delegated business wallet.

If the company admin removes a user’s access to the wallet:

  • the user immediately loses access to the business card

  • the card no longer appears in the user interface

  • the card remains active in the system until it is terminated

Admins should terminate cards that are no longer needed.

2FA for Business Card Security

If two-factor authentication (2FA) is enabled in the user’s account, additional verification may be required for sensitive card-related actions.

This may include:

  • viewing full card details

  • confirming sensitive card actions

This helps protect business cards from unauthorized access.

FAQ

What should I do if an employee leaves the company?

Remove the employee’s access to the delegated business wallet and close business card (recommended).

Why can’t an employee see their business card?

This may happen if:

  • their access to the delegated wallet was removed

  • the card was terminated

  • employee signed in with a different email address than the one used during card issuance

What happens if the wrong email was used when issuing a card?

If the wrong email was entered:

  1. Terminate the card

  2. Issue a new card with the correct email address

Can I top up a business card using Revolut or Wise?

Direct top-ups from any services are not currently supported.

To fund a business card, deposit funds into your company wallet using supported funding methods

Can an employee withdraw funds to a EUR bank account or card?

No. Employees cannot withdraw funds from business cards to a EUR bank account or another card.

What happens if a business card is deleted and there is a remaining balance?

Terminating a business card does not remove funds from the business wallet.

Any remaining funds stay in the company wallet and can still be used by the business.

How can I fund an employee's business card?

Business cards are funded through the company wallet. You can fund employee spending in two ways:

  1. Internal transfer — Transfer funds from the company's main wallet to the employee's wallet.

  2. Direct deposit — Each wallet has its own deposit address for every supported cryptocurrency. Send funds directly to that wallet.

Once it is funded, the employee can use the business card linked to it.
